This Privacy Policy explains how [Legal entity, TODO] ("we", "us" or "our") handles personal data in connection with MailVerify, the business email verification service at businessemailverification.com (the "Service"). It covers the email addresses you submit for verification, the limited account data we need to run the Service, and your rights.
1. What the Service does with your data
MailVerify verifies email addresses you submit. To do that we check syntax and format, confirm the domain has live mail servers (MX), open an SMTP conversation to confirm a mailbox exists, and flag disposable, role-based and catch-all addresses. We process each address only to return its verification result to you. We do not send email to the addresses we check as part of verification.
2. Controller and processor roles
When you upload a list or submit an address, you decide why and how those addresses are processed, so you are the data controller and we act as your data processor. We process uploaded addresses only on your instructions, which is to return verification results, and for no other purpose. We do not determine the purposes of processing your lists.
3. Retention and deletion
Uploaded lists and the addresses they contain are processed transiently to produce your results. We retain them only briefly so you can download your results, and they are automatically deleted within 30 days. You can request immediate deletion of an uploaded list or its results at any time by contacting us, and we will action it promptly. We do not keep your verification lists beyond what is needed to deliver the Service.
4. We do not sell or reuse your lists
We do not sell, rent, or share your verification lists with third parties for their own purposes. We do not reuse the addresses you submit to build, enrich, or seed any other database, marketing list, or product. Your lists are yours.
5. Sub-processors
To run verification at scale we use one or more third-party verification sub-processors and standard infrastructure providers (such as hosting and email-infrastructure services). These sub-processors process addresses only to perform verification on our behalf and are bound by confidentiality and data-protection obligations. We do not authorize them to use your data for their own purposes. A current list of sub-processors is available on request.
6. Account and usage data
Separately from the addresses you verify, we process the limited data needed to operate accounts and bill paid plans, such as your email address, plan, usage counts, and basic log data used for security and abuse prevention. For this account data we act as the controller, and we keep it only as long as needed to provide the Service and meet legal obligations.
7. International transfers
We and our sub-processors may process data in countries other than your own. Where personal data is transferred out of the European Economic Area or the United Kingdom, we rely on appropriate safeguards, including the European Commission Standard Contractual Clauses (SCCs) and equivalent UK transfer mechanisms, to protect that data.
8. Your rights
Depending on where you are, you may have rights under laws such as the GDPR and the CCPA, including the right to access, correct, delete, or port your personal data, to object to or restrict processing, and to withdraw consent. Under the CCPA you also have the right not to be discriminated against for exercising your rights, and we confirm we do not sell personal information. Because we act as processor for the addresses you upload, requests from the people on your lists should normally be directed to you as the controller; we will assist you in responding. 9. Security
We use technical and organizational measures appropriate to the risk, including encryption in transit, access controls, and brief retention windows, to protect the data we process. No method of transmission or storage is completely secure, but we work to keep your data protected for as long as we hold it.
10. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above. Material changes will be communicated where practical.
